Introduction
By booking a trip with LuiTours, guests agree to the terms described on this page and to any trip-specific conditions provided in the final proposal, invoice or booking communication. These terms are written in plain language so guests understand the practical responsibilities on both sides.
Different tours may involve different suppliers, parks, permits, lodges, flights and seasonal rules. Your confirmed proposal is therefore an important part of the agreement.
Booking Confirmation
A booking is confirmed when you approve the itinerary and LuiTours receives the required deposit, payment or written payment arrangement. After confirmation, we begin securing accommodation, guides, vehicles, park arrangements, permits, domestic flights and activities listed in the itinerary.
Until confirmation is complete, prices and availability may change because lodges, camps, airlines and activity providers operate their own booking systems.
Payment Terms
Deposit amount, balance deadline and accepted payment method depend on the itinerary, travel season, supplier rules and services included. Some lodges, flights or permits may require early payment or non-refundable deposits. Final payment must be received by the deadline stated in your booking communication unless LuiTours agrees otherwise in writing.
Prices and Inclusions
Your final proposal will describe what is included, such as accommodation, meals, park fees, guide services, private vehicle, transfers, domestic flights, permits or activities where applicable. Prices are usually based on the number of travellers, travel dates, rooming arrangement and accommodation level requested.
If government fees, park fees, taxes, fuel costs, exchange rates, flight costs or supplier rates change before confirmation, the quoted price may need adjustment.
Exclusions
Unless specifically included in writing, tour prices do not normally include international flights, visas, travel insurance, vaccinations, tips, drinks, laundry, personal spending, optional activities, premium beverages, extra hotel nights, extra transfers, bank charges or costs caused by missed flights and personal schedule changes.
Changes to Itinerary
LuiTours can help adjust dates, route, accommodation, rooming, pickup point or activities where possible. Changes are subject to availability, supplier rules, park regulations, domestic flight schedules and any additional costs. Requested changes may increase or reduce the final price.
During travel, guides may adjust timing or order of activities for safety, weather, road conditions, wildlife movement, park rules or guest comfort while preserving the spirit of the itinerary.
Cancellation Policy
Cancellation terms depend on the timing of cancellation and the services already booked. Lodges, camps, hotels, airlines, permit offices, park authorities and activity providers may apply non-refundable or partially refundable conditions. Peak season, holiday dates, gorilla or chimpanzee permits, domestic flights and special lodges often have stricter rules.
Guests should request cancellation terms for their specific trip before confirming. Refunds, where possible, are processed after supplier conditions and bank costs are confirmed.
Travel Insurance
Guests are strongly advised to arrange comprehensive travel insurance covering medical treatment, evacuation, trip cancellation, interruption, delayed flights, lost luggage, trekking activities and emergency repatriation. Travel insurance is especially important for Kilimanjaro climbs, remote safaris and itineraries involving domestic flights.
Health and Fitness
Guests are responsible for ensuring they are medically fit for the trip they book. Safaris may involve long drives, heat, dust and early starts. Trekking trips require appropriate fitness, equipment and honest communication about altitude symptoms or medical concerns. Please inform LuiTours before travel about dietary needs, allergies, mobility limits or health issues that may affect trip operation.
Kilimanjaro Trekking Conditions
Kilimanjaro climbs involve altitude, cold weather, changing trail conditions and physical challenge. Guides may advise a slower pace, rest, descent or route adjustment for safety. Summit success cannot be guaranteed. Guest safety, guide judgment and responsible mountain practice take priority over reaching the summit.
Safari Conditions
Wildlife sightings are never guaranteed because animals move freely and conditions change. Guests must follow guide instructions, remain inside vehicles unless permitted, respect park rules, keep safe distances from animals and avoid behavior that puts people or wildlife at risk. Game-drive routes may change due to road conditions, rain, park access, wildlife movement or safety.
Accommodation Changes
If a confirmed lodge, camp or hotel becomes unavailable due to overbooking, closure, maintenance, weather, supplier changes or other reasons beyond our control, LuiTours will aim to provide a suitable alternative of similar standard where possible. The replacement may be in a nearby area if the original location cannot be used.
Weather and Road Conditions
Tanzania travel can be affected by rain, dust, rough roads, seasonal flooding, flight delays, park conditions and wildlife movement. Guides and operations staff may adjust routes or timing to keep the trip practical and safe. Such adjustments are not considered a failure of service when they are made for safety, access or operational reasons.
Guest Responsibility
Guests are responsible for valid passports, visas, travel insurance, personal medication, accurate booking details, punctuality, respectful behavior, following guide instructions and complying with local laws. Costs caused by incorrect documents, missed flights, late arrival, personal changes or failure to follow instructions may be the guest's responsibility.
Company Responsibility
LuiTours is responsible for arranging the services listed in the confirmed itinerary with reasonable care and professionalism. We work with guides, lodges, camps, drivers, activity providers and transport partners to deliver the trip as confirmed. We are not responsible for events outside our control or for services not included in the written proposal.
Force Majeure
LuiTours is not liable for failure or delay caused by events beyond reasonable control, including severe weather, natural disasters, disease outbreaks, border restrictions, government action, park closure, strikes, civil unrest, airline disruption, road closure, supplier failure or other events that make normal operation impossible or unsafe.
